We are seeking a highly organized and proactive Office Coordinator / Project Administrator to support our Regional Maintenance and Plant Management team. This role is pivotal in ensuring our assisted living facilities remain safe, functional, and beautiful for our residents. You will act as the central hub for maintenance operations—coordinating capital projects (CapEx), managing vendor relations, and streamlining procurement processes across multiple sites.
Key Responsibilities

Project Coordination: Oversee the lifecycle of capital improvement projects and regional maintenance tasks, ensuring they stay on schedule and within budget.

Vendor Management: Source, vet, and maintain relationships with contractors and vendors. Actively follow up on bids, insurance compliance, and project execution.

Procurement & Inventory: Manage the regional procurement of maintenance supplies and equipment, ensuring facilities have the necessary resources for daily operations.

Administrative Support: Maintain detailed records of facility inspections, maintenance logs, and project documentation.

Communication Bridge: Serve as the primary point of contact between facility Executive Directors, Regional Maintenance Directors, and external partners.
Required Qualifications

Experience: 2–5 years of experience in administrative support, project coordination, or facilities/maintenance operations.

Industry Knowledge: Previous experience in assisted living, healthcare, property management, or construction environments is required.

Project Savvy: Familiarity with CapEx projects and large-scale maintenance workflows.

Technical Skills: Proficiency in project management software and the Microsoft Office Suite.

Organization: Exceptional multitasking skills with the ability to manage competing priorities for different locations.

Strong negotiation skills regarding vendor contracts and bids.

A background in regulatory compliance for healthcare or senior living environments.

Ability to read and interpret basic project estimates and blueprints.
