One Heart Behavioral Health is a growing outpatient mental health clinic providing therapy, psychiatric services, and community-based support across the San Fernando Valley and statewide via telehealth. Position Overview

We are seeking a highly organized and detail-oriented Operations Coordinator to support the back-end operations of our clinic. This role is critical in ensuring that our systems, documentation, and workflows remain clean, compliant, and efficient.

This is not a front desk or scheduling role, this position focuses on internal operations, documentation management, and quality control.

Key Responsibilities

Operational & Administrative Support

  • Maintain and manage internal trackers (field visits, referrals, supervision logs)
  • Ensure all services are properly documented and aligned with clinic processes
  • Support implementation and organization of internal SOPs and policies

Authorizations & Insurance Coordination

  • Submit and track authorizations as needed
  • Follow up on pending approvals
  • Ensure proper documentation is in place for services rendered

Documentation & File Management

  • Organize and maintain digital and physical client records
  • Support cleanup and structure of medical records
  • Ensure documentation is complete, accurate, and audit-ready

File Audits & Compliance Support

  • Conduct routine chart audits to ensure documentation meets standards
  • Identify missing or incomplete items and follow up with staff
  • Support clinical and administrative compliance efforts

Process & Workflow Support

  • Assist in maintaining structured workflows across the clinic
  • Help ensure staff are following established processes
  • Flag inefficiencies or gaps for leadership review

Qualifications

  • Experience in a behavioral health, medical, or healthcare setting (required)
  • Strong understanding of insurance processes, including authorizations
  • Experience with chart audits, documentation review, or compliance support
  • Highly organized with strong attention to detail
  • Ability to work independently and take ownership of tasks
  • Comfortable working in a fast-paced, evolving environment
