Position Summary:

A restaurant is seeking a poised, proactive, and hospitality-driven Event Coordinator to oversee the seamless execution of private dining experiences, corporate functions, and large-scale special events. This role demands an individual with impeccable taste, a deep understanding of luxury service standards, and the ability to cultivate unforgettable guest experiences that align with this brand and values.

Key Responsibilities:

  • Sales & Business Development:
    • Respond to inbound event inquiries and actively pursue new leads through outreach, networking, and community engagement.
    • Drive event bookings that align with the brand’s elevated positioning, including high-profile and VIP clientele.
    • Develop strategic plans to grow revenue, optimize offerings, and elevate the event program beyond industry standards.
  • Client Experience & Event Planning:
    • Guide clients through every step of the event process with polished communication and white-glove service.
    • Customize menus and event experiences in collaboration with the Executive Chef, Beverage Director, and Marketing Team.
    • Conduct personalized site visits, tastings, and detailed pre-event consultations.
    • Liaison with the Reservation Department to help respond and book large party reservations and upsell those parties to a private space when necessary
  • Operational Excellence:
    • Create detailed Banquet Event Orders (BEOs) using Tripleseat and ensure thorough communication with FOH and BOH teams.
    • Coordinate all event logistics including staffing, floor plans, décor, AV, rentals, and run-of-show timelines.
    • Maintain the highest standards of professionalism, dress code, and staff presentation.
    • Manage event calendars, contracts, deposits, and invoicing with accuracy and timeliness.
  • Day-of Execution:
    • Lead on-site event execution with grace under pressure, ensuring every detail is executed to the highest level.
    • Serve as the primary point of contact for clients during events and resolve any issues swiftly and tactfully.
    • Ensure a seamless collaboration between kitchen, bar, and service teams for optimal guest satisfaction.
  • Post-Event & Relationship Management:
    • Conduct thorough follow-ups, collect feedback, and nurture long-term client relationships.
    • Maintain a curated vendor list and develop strong partnerships with florists, AV technicians, entertainers, and rental providers.
    • Track post-event performance metrics to assess client satisfaction and event profitability.

Qualifications:

  • Minimum 3 years of experience in event planning or coordination, preferably within a fine dining or luxury hospitality environment.
  • Deep knowledge of fine dining service standards, food and beverage terminology, and event logistics.
  • Exceptional interpersonal, written, and verbal communication skills.
  • Impeccable organizational skills and acute attention to detail.
  • Proven ability to multitask and manage multiple events simultaneously in a fast-paced environment.
  • Proficient in event software and tools such as Tripleseat, Toast, and Microsoft Office Suite.
  • Flexible availability, including evenings, weekends, and holidays.
  • Professional presence and the ability to interface with high-net-worth individuals, corporate clients, and VIP guests.
